Resources for School Administrators
The Workforce Board’s Consumer Protection Unit works with licensed schools to support compliance with state licensing requirements and to ensure that accurate program information is available to prospective students and the public.
Required Program Updates for All Schools
All licensed schools and programs now sync automatically from EDvera to Career Bridge, the state’s public career and education portal. This means the information you enter in EDvera is now displayed live on Career Bridge.
To remain eligible for state and federal training program funding–including programs funded under WIOA–schools must ensure that all program information is complete, accurate, and up to date. Missing or outdated information may result in delays, removal from eligibility lists, or other compliance actions.
All schools are required to:
- Review all program details as they appear on Career Bridge
- Verify that tuition, fees (including sales tax), books, and supply costs are accurate and complete
- Confirm that program names and award types are correct
- Submit all program change applications through the EDvera licensing portal, (the Career Bridge update portal is no longer available)
- Download, complete, and submit the ETPL Assurances Form to careerbridge@wtb.wa.gov
Webinar Recording: Updating Your Programs in EDvera
If you were unable to attend–or would like a refresher–you can watch the recording of our recent instructional webinar, which walks through the steps of reviewing and updating your program information in EDvera and explains how those updates appear on Career Bridge.
Watch the webinar.
More than 60 representatives attended this session, and we encourage all school administrators responsible for program data to review it to ensure their information is displayed accurately to students and workforce partners.
Renew your Private Vocational School License
School licenses are renewed annually, one month prior to the expiration date on the certificate. This allows the agency time to process your renewal application and documents. (See RCW 28C.10.050 and 28C.10.060.) An entity operating under a private vocational school license must apply for an annual license renewal according to instructions provided by the agency. The renewal application must include, along with the renewal fees, the following information attested to by the school’s chief administrative officer.
What’s Due for your License Renewal
- Online license renewal application, including a full proforma financial statement.
- Renewal fees based on the school’s Gross Tuition Revenue. (WAC 490-105-070)
- Current catalog with program curriculum (Catalog regulations, WAC 490-105-042)
- Current enrollment agreement with attachments A & B (Enrollment agreement regulations, WAC 490-105-043)
- Current business license or evidence the school is registered as a corporation.
- Evidence of liability insurance.
- Accredited schools must submit a reviewed/audited financial statement.
- Non-accredited schools should be able to provide documentation to support the proforma financial statement.
- A list of registered sales agent(s), if applicable. (Sales agent regulations, WAC 490-105-050)
Additional renewal information can be found at WAC 490-105-041.
Renewal Dates
Renewals are due one month prior to the expiration of your license. Dates vary by school. Schools should maintain a current email address with the agency to receive reminder notifications. Schools are responsible for renewing and paying all fees timely, or late fees will be assessed.
Financial Information
Payment must be submitted by check to the Workforce Board via the USPS to PO Box 43105, Olympia, WA 98504-3105 and made out to: Washington State Treasurer. Please include your school name in the memo section. If you have combined your licensing and Tuition Recovery Trust Fund fees, please include a breakdown of each individual amount.

Report your Student Data
All private vocational schools and schools with programs on the state’s Eligible Training Provider List are required to submit student data. The online data reporting portal was designed to make the reporting process a faster, better experience. Click here for more detailed information about reporting your student data.
Due to new federal regulations, this year’s student data reporting through the student data portal will now take place during summer instead of later in the fall.
